How do you capture leads without a badge scanner?

The answer, first

Three routes work without the show's scanner: photograph the business card, type the details into your phone, or describe the conversation out loud and let an app pull the details out of what you said. All three keep working at the next show, which a rented scanner does not, and none of them need the visitor to be carrying a scannable badge.

What a badge scanner actually gives you

A rented scanner reads the visitor's badge and returns whatever they typed into the show's registration form: name, title, company, usually an email. That is real data and it arrives clean.

What it cannot return is the conversation. Two people with identical badges can be a buyer with a deadline and a student collecting tote bags, and the badge reads the same for both. The scanner also stops at the end of the show, because you rented it.

The three routes that need no hardware

1
The business card. Photograph it and let an app read the fields off the print. Accurate, because you are reading the person's own spelling of their own name, and it works for anyone who still carries cards.
2
Typing. Slow, error-prone at a noisy booth, and the reason so many leads end up as four words in a phone note — but free and always available.
3
Describing the conversation. Tap a microphone and say who you just met and what they wanted. The details are pulled out of the speech, and you keep the part a badge never holds: what they actually said.

What you give up, and what you get

You give up the registration record. If the show's data is the deliverable — a clean list to hand to a marketing team — rent the scanner, and see how the two compare side by side.

What you get is context and continuity. The lead carries why they stopped at your booth, and the same setup works at the next show, at a site visit, and in the car park afterwards.
