Wednesday, April 21 — it closes a day earlier than you are used to

Questions people ask before ProMat

What exactly is MeetDrop?

A lead capture app for people who meet prospects in person. After a conversation you photograph their card or badge and speak one sentence about what was said. MeetDrop pulls out the name, company and what they wanted, writes a personalised follow-up email in your voice, and sends it when you press Send — usually within a minute of the handshake. It runs in your phone's browser and there is nothing to install.

When and where is ProMat 2027?

ProMat 2027 runs Monday, April 19 to Wednesday, April 21, 2027 at McCormick Place in Chicago, Illinois. It is organised by MHI. Note the change: 2027 is the first ProMat to run three days rather than four, so plan your booth staffing and your follow-up accordingly.

Why is ProMat 2027 only three days?

MHI has shortened the show from four days to three for 2027 — the first edition ever to do so. For exhibitors it means the same volume of conversations compressed into less time, which makes same-day follow-up matter more, not less: there is one fewer evening in which to catch up on the cards.

How big is ProMat and who attends?

The organiser describes ProMat 2027 as featuring more than 1,200 exhibits and 200 educational sessions. The previous edition, ProMat 2025, drew 52,223 registrations and 1,160 exhibitors across 659,000 square feet. Exhibitors are automation and logistics equipment vendors; attendees are supply-chain and operations people with budget.

How often does ProMat run, and what is MODEX?

ProMat runs biennially, in odd years, in Chicago. MHI's sister show MODEX runs in the even years, in Atlanta. So if you are planning a two-year show calendar, the pair usually means one MHI show a year rather than none.

What is the International Buyer Program?

ProMat 2027 again includes MHI's International Buyer Program, which brings screened international buyers to the show and runs buyer–seller matchmaking. If you are exhibiting, those are scheduled conversations with people you have never met — exactly the kind where a follow-up sent the same day, naming what was actually discussed, does the most work.

What does MeetDrop cost?

Free to start: unlimited leads, with 10 AI follow-up emails a month written and sent for you. An Event Pass is $49 for one show: 200 AI follow-up emails, for 30 days from the first one, with replies coming back to your own address. Pro is $99 a month, or $79 billed annually, for unlimited AI follow-ups, sending from your own domain, lead scoring and CRM sync. Team is $199 a month with three seats included. Does ProMat have an official badge scanner for exhibitors?

Exhibitors can order lead retrieval through the show's exhibitor portal, and it captures the details printed on an attendee's badge. It does not record the conversation or write the follow-up, and attendees cannot use it at all. MeetDrop works alongside it for both, and can import the scanner's export after the show.

How soon should I follow up after ProMat?

The same day, from the show. Most trade show leads never get a meaningful follow-up, and exhibitors who wait more than a week see reply rates fall sharply against those who reach out within two days. With 1,200 exhibits in three days, your lead met more vendors per hour than at almost any other show — the first specific email is the one that gets remembered.

What does free for ProMat include and how do I claim it?

Ten attendees get Pro and ten booths get Team, free from the day they claim through May 31, 2027. To claim, post publicly on LinkedIn or X that you are going to ProMat and mention MeetDrop, then paste the post link in the form on this page. A person checks the post and turns the plan on within one business day. No card is needed, and on June 1 the account returns to Free with all your leads intact.

Do I need to install anything?

No. MeetDrop runs in your phone's browser, and there is an iOS app if you prefer one. Sign in with Google or with a code emailed to you, set ProMat as your event, and the capture screen is ready. There is nothing for your booth staff to download.
